It differs from other forms of composition in its overarching emphasis on expediency. The focus in composing an effective piece of business writing should be on offering in as concise a way as possible a central objective, outlining the factual justifications for this objective while appealing to the sensibilities of your audience. Business writing may take the form of a letter, a proposal, a memorandum or a presentation. For each of these, there is a preferred format which may vary depending upon the nature of your trade or organization. With each of these formats, however, you will be expected to deliver your intention and justify it in a manner which is clear, brief and easily navigable. Contrary to academic forms of literature, the purpose in business writing is not to create discussion. Rather, the purpose is to inform or persuade your audience in as few words as possible as to the legitimacy of your objective. The business world moves quickly and time is scarce. As you consider your audience, whether they be members of your organization, potential future employers or investors in a boardroom meeting, you must also consider the value of their time. Your language should be direct, economical and uncluttered, ensuring that your objective is immediately understood. When supporting your objective, offer facts without fluff. It is commonly accepted to use bullet-points, indented lists, bold-faced key terms and other such distinguishing marks in order to draw audience attention to the most compelling supporting facts. Additionally, your word choice must reflect the interests of your audience. Avoid negative words or words with negative connotations. Also avoid using vague or obfuscating language that might misdirect your audience’s attention. Use strong, simple and positive language to engage your audience. Remember that you are appealing to the audience for support in your objective.
